1. About this policy

Subconscious Academy, LLC is a US-based company providing educational programs, coaching, digital content and community services. This policy explains our handling of personal information when you visit our website, register for a training, purchase or use a program, access our learning portal or app, book a consultation, participate in a community, or contact us.

For questions about this policy or a request concerning your personal information, email [email protected].

This policy provides information about our practices. It does not make your use of a website or service a blanket consent to every use of personal information. Where applicable law requires a particular consent, notice or choice, that requirement applies separately.

2. Information we collect

The information involved depends on how you interact with us.

Information you provide

  • Contact and account information, such as your name, email address and information you provide when registering or managing an account.
  • Purchase and billing information needed to identify and administer your order, payment status, refunds and access. Payment details are also handled by the payment provider used for your transaction.
  • Booking and registration information, such as the details you provide when arranging a consultation or registering for a training or event.
  • Assessment responses, coaching intake information, questions and other material you choose to submit in connection with a service, including optional exercise reflections submitted for your Rewire Codex.
  • Community posts, comments and other submissions you choose to share with the audience of a community feature.
  • Correspondence, including requests for help, feedback and privacy or refund requests.
  • Other contact details, such as a telephone number or address, if you provide them in a relevant form or transaction.

Technical and interaction information

Our website, service platforms and configured analytics or advertising tools may collect technical and usage information, such as IP address, device or browser information, pages visited, referral information and interactions with content or forms. Cookies and similar technologies can be involved. See section 5 for more information.

Information associated with service providers

Platforms involved in registration, delivery, bookings and payments may provide us with information needed to administer those activities, such as a registration, booking or payment record. Their collection and processing of information can also be subject to their own privacy notices.

3. How we use information

We use information relevant to an activity to:

  • Register participants and administer accounts, purchases, payments, refunds and access.
  • Deliver courses, digital materials, coaching, trainings and community features.
  • Arrange consultations and respond to questions or requests.
  • Compile optional exercise submissions into your personal Rewire Codex so you can keep and revisit a record of your reflections.
  • Send service information and educational or promotional communications.
  • Understand engagement and website use, improve our services and measure marketing activity.
  • Support advertising and promotional activity through the tools described in this policy.
  • Maintain records, address disputes, protect the service against misuse and meet applicable legal obligations.

Not every category of information is needed for every purpose. Please avoid providing information that is unnecessary for the activity, especially in open-text forms and community discussions.

4. Platforms and recipients

We use other companies to help operate our services. Depending on the activity, relevant information may be handled by:

  • Kajabi, which supports our website, registrations, digital-program delivery, account access, community and email activities.
  • Calendly, used in our consultation-booking process.
  • Third-party form and cloud-storage services that process and retain optional Rewire Codex submissions and the resulting personal document in Subconscious Academy-managed cloud storage.
  • Payment providers involved in the transaction you select.
  • Analytics and advertising providers, including Google Analytics and Meta/Facebook Pixel, as described in section 5.
  • Communication or session-delivery platforms used for a particular service, such as Zoom where a session is delivered through it.
  • Other providers involved in hosting, technical support or delivering a feature you use.

These providers do not necessarily all receive the same information or act in the same legal role. A provider may process information for us, handle some information for its own purposes, or do both, depending on the service and its terms.

Community submissions may be visible to the participants who have access to the relevant feature. See section 6.

We may disclose relevant information when required by law or when necessary to address a legal claim or protect lawful rights. Information may also be involved in a business reorganization, acquisition or transfer, subject to applicable law and the protections and commitments that apply to it.

5. Cookies, analytics and advertising

Our website uses cookies and similar technologies in connection with website functionality, understanding use and marketing activity. Google Analytics and Meta/Facebook Pixel are enabled in our website settings for analytics and advertising measurement. These tools may collect or receive technical identifiers, browsing information and interactions with the website, and may process information under their own privacy terms.

Our homepage and checkout do not currently display a cookie-consent banner offering a choice of cookie categories. This policy does not itself provide a consent control or imply that analytics or advertising tools wait for your permission before operating.

Browser settings can help you block or remove cookies, but they do not necessarily stop every kind of tracking or remove information already collected. Restricting cookies may also affect features such as login or account access.

You may contact [email protected] with questions about tracking or to make an applicable privacy request. Any opt-out or consent rights provided by law remain available regardless of the wording of this policy.

6. Communities and personal information you share

Before posting, consider who can access the relevant community, discussion or feature. A members-only space still has an audience, and other participants may be able to view or retain what you share.

Do not post someone else's personal information without authority, and avoid sharing sensitive personal details that the audience does not need to know. Community confidentiality rules are important, but they cannot guarantee that every participant will follow them.

Our handling of a submission and other participants' independent use of it are different activities. Contact us if you believe information has been shared through our services inappropriately.

7. Coaching, webinars and personal reflections

Information you provide in a consultation, assessment or coaching interaction may be personal. Share only what is relevant to the educational or coaching service. Our services are not a request to send medical records, identity documents or other highly sensitive material through an ordinary community post or general enquiry.

Webinars are currently the only sessions we record; private sessions are not recorded. Zoom provides participants with a recording notification before or when they join the recorded webinar. Webinar replays are made publicly available on our website's video sales page. This public audience is different from the people attending the live session.

A recording notification and this policy do not, by themselves, replace any permission required for recording or publicly using a participant's image, voice, comments or other personal information. Consider that public audience before contributing personal information during a recorded webinar.

If you are unsure who will receive particular information or whether an interaction will be recorded, contact us before providing sensitive material.

Optional Rewire Codex

You may keep your reflections in your own notebook or document, or choose the automated Rewire Codex. If you choose the automated option, third-party form and cloud-storage services process and retain your identifying details and optional reflections to create and update a personal record for you in Subconscious Academy-managed cloud storage. This includes the original form submissions as well as the resulting Codex document.

You have access to your Codex, and Subconscious Academy retains technical access to the document and underlying form submissions. Our policy is not to read your reflections or manually access your Codex or submissions unless you explicitly ask us to help troubleshoot a technical issue. Technical access is not the same as routine review, and the record is not technically inaccessible to us. Treat your Codex link as private. You may stop using the automated option and keep your own record instead.

To request deletion of your Codex or associated submissions, email [email protected]. We will act promptly on the request and address both the accessible document and underlying form submissions under our control, where deletion is available and legally appropriate or required. Deleting the document alone does not necessarily erase the original submissions or every provider backup or log. Any information that must be retained remains subject to applicable privacy requirements, and we will explain a relevant limitation on your request.

8. AI features

Our practice is not to submit client information to AI tools ourselves. This does not mean that no service provider uses AI or that information you enter directly into a third-party AI service avoids AI processing.

The course includes optional links to a third-party AI service used through your own account. If you choose to use it, information you enter is processed by that service to generate responses and is also subject to its privacy terms and your account settings. Consider carefully what you submit, and do not enter another person's personal information without authority.

The provider, access to conversations, retention and any use for model training or other improvement are specific to the feature and its configuration. This general policy does not authorize unrestricted reuse of your inputs. If those details are not clear from the information accompanying a feature, ask us before providing sensitive information.

AI-generated responses may be inaccurate and should not be treated as professional advice or emergency assistance. The Terms and Conditions explain the intended educational role of any AI tools included in a service.

9. Email and communication choices

Our checkout currently presents email opt-in as a preselected choice, and our purchase settings are configured to enroll paid purchasers in our mailing list. We use that list for educational and promotional emails. We do not treat these settings or publication of this policy as a substitute for any consent required by applicable law.

You may unsubscribe from marketing emails using the unsubscribe option in the message or contact us at [email protected].

An unsubscribe request concerns marketing communications. Messages needed to administer an existing purchase, account, booking, support request or privacy request may be handled differently from promotional emails, subject to applicable law.

10. Retention and security

We currently have no fixed, automatic deletion period for customer records. Information can remain in our systems unless it is deleted following a request or another applicable reason. This does not remove any obligation to limit retention under applicable law.

When considering a deletion request or retention requirement, relevant factors include the service or relationship involved, records needed to administer purchases, applicable recordkeeping obligations, disputes and the sensitivity of the information. Different categories of information can have different requirements.

You can contact us to ask about retention of information associated with you or to make a deletion request. Deletion rights may be subject to lawful exceptions; ending an account or unsubscribing from marketing does not necessarily require immediate removal of every transaction or legal record.

We are responsible for safeguarding information appropriately for its nature and use. No system or internet transmission can be guaranteed completely secure. If you believe your account or information has been compromised, contact us promptly. Do not send passwords or full payment-card details in an ordinary email to us.

11. Privacy requests and rights

Depending on the law that applies to you and our processing, you may have rights to access or obtain a copy of information, correct it, request deletion, restrict or object to particular processing, or receive certain information in a portable format.

Applicable law may also give you rights to withdraw a consent, opt out of certain advertising-related processing or disclosures, appeal a decision on a privacy request, or complain to a privacy regulator. These rights and any exceptions depend on the relevant law and activity. This policy does not limit rights that the law gives you.

To make a request, email [email protected], describe what you are asking for and provide enough information for us to identify the relevant account or interaction. Do not include unnecessary sensitive documents. We may need proportionate verification before providing account information or making certain changes.

We aim to acknowledge privacy requests promptly. After any necessary verification, we will review the request and delete information where the request applies and deletion is legally required or otherwise appropriate and available to us. If information must be retained or a requested action cannot be completed, we will explain the applicable reason. We will handle requests under applicable law, including any required response periods and explanation of a decision. If you are acting for someone else, tell us and provide appropriate evidence of authority when needed. Where law prohibits discrimination for exercising a privacy right, that protection applies.

12. Information processed outside your country

We are based in the United States and use online service providers. Information may be handled in the United States or other countries connected with the providers and services involved. Those countries may have different privacy laws from your own.

Using our services does not by itself amount to consent to an international transfer where the law requires a particular transfer mechanism or specific consent. Any applicable transfer requirements must be satisfied separately. Contact us with questions about where information associated with a service is handled.

Our US location does not remove any non-waivable privacy protection that applies to a particular activity. Customers outside the United States may have additional rights depending on the relevant law and the circumstances.

13. Children

Our services are intended for adults aged 18 or older. We do not knowingly seek personal information from children through these services. If you believe a child has provided information to us, contact [email protected] so we can investigate and take appropriate action, including deletion where required.

14. Other websites and services

Links to other websites, including affiliate links where used, lead to services with their own practices. Review their privacy information before providing personal information. This policy describes our activities and does not replace another organisation's privacy notice or remove our own responsibilities when we use a provider.

15. Changes and contact

We may update this policy to reflect changes in our activities or applicable requirements. An updated version will identify its effective date. We will provide any additional notice or choice required for a material change rather than treat posting an update as blanket permission for a new use of information. An update does not override restrictions applicable when information was collected unless the change is legally permitted and any required permission or choice has been obtained.
